Connect Xobuya to QuickBooks Online

Xobuya talks to QuickBooks Online through an app that belongs to you, registered on your own Intuit developer account. Intuit asks more of app owners than Xero does, so allow half an hour and follow the steps in order.

Step by step

  1. Create the app

    Sign in at developer.intuit.com with your Intuit login, open the Dashboard and choose Create an app. Select QuickBooks Online and Payments, name the app after your business and choose the Accounting scope.

  2. Switch to production keys

    Open Keys and credentials. The page shows Development keys first. Those only work against Intuit sandbox companies, so switch to the Production tab. Everything below is entered there.

  3. Enter the redirect URI and app URLs

    Under Redirect URIs add the value below exactly, with no trailing slash.

    Intuit also requires these before it will issue production keys:

  4. Complete the app assessment questionnaire

    Intuit asks every app owner to complete a compliance questionnaire before production keys are released. It is a form about how the app handles data. Answer for your own use: the app is used only by your business, data is exchanged only between Xobuya and your QuickBooks company, and it is not listed on the QuickBooks App Store.

    Production keys stay locked until the questionnaire is accepted. If anything in it is unclear, send us a message through the in-app support chat and we will go through it with you.
  5. Copy the production keys into Xobuya

    Back on the Production tab copy the Client ID and Client Secret. In the Xobuya app open Settings, then Secured, select QuickBooks as your accounting platform, paste both values and tap Save. Leave Realm ID empty.

  6. Connect

    Tap Connect QuickBooks. A browser opens on Intuit's consent screen. Choose your company and choose Connect. You will land on a page that says QuickBooks Connected. Close it, return to the app and tap Check Connection. The Realm ID fills in on its own.

After you connect

Accepting a quote now creates the invoice in QuickBooks, and payments recorded in Xobuya are applied to it. Income accounts for each product type are set under Account mapping on the same Secured screen. If you connect the wrong company, tap Disconnect and connect again.

If something goes wrong

Intuit shows an error mentioning redirect_uri
The redirect URI on the Production tab of your Intuit app does not exactly match the value above, or it was only added to the Development tab. Fix it on the Production tab and try Connect again.
Connect opens Intuit but only sandbox companies are offered
You are using Development keys. Switch to the Production tab, complete the questionnaire if it is still pending, and paste the production Client ID and Client Secret into Xobuya.
The app says "QuickBooks Client ID not configured"
The credentials were not saved before you tapped Connect. Paste them again, tap Save, wait for the confirmation and then tap Connect QuickBooks.
It connected, but invoices are not appearing in QuickBooks
Check that the accounting platform on the Secured screen is set to QuickBooks and that each product type has an income account under Account mapping. Then accept a test quote.
